What information is stored?

When you send us your online application, it is automatically read and filed in our application management system. All documents sent with your application (cover letter, CV, diplomas and other certificates) and all the information contained in these documents are also stored in this system. If you hand in your application in person or send it to us by post, it is first digitised and then also filed in our application management system. The original documents get destroyed in accordance with data protection regulations or returned to you immediately.You can update and amend your documents whenever you wish. To do this, simply send an email to recruiting@de.rhenus.com and attach your new documents or let us know what changes you wish to be made.

What is this stored data used for?  
Your application documents and the personal data contained in these are used by the Rhenus Group and its subsidiaries and associated companies for the sole purpose of making a decision in an application process (Art. 88 GDPR). Should your data be needed after the application process has been completed, possibly as part of legal proceedings to ward off or assert claims, then the legal basis for processing the data is Article 6 Paragraph 1 Point (f) GDPR.

Data recipients
Your documents can be accessed by all people directly involved in the application process (HR departments, specialist departments, works councils).

Transfer of your data to a third country or to an international organisation
When you send us your application, you automatically agree to us passing on your documents to other Rhenus Group companies so that we may contact you about other vacancies that might match your profile. Your data is never passed on to third parties outside the Rhenus Group.

Exception: if you apply for a position at Rhenus Office PS GmbH & Co. KG, then you also automatically agree to us passing on your application documents to client companies outside the Rhenus Group for potential deployment.

If you have applied for a vacancy outside the EU or have consented to having your details stored in our applicant pool or to your application details being transferred to one of our Group companies based outside the EU, then we might also pass on your application details to the company concerned outside the EU.

How do we ensure your data is secure?
Our application management system is operated by a contractor in accordance with the rules and regulations of the Rhenus Group and hosted on a server in Germany. Your data is automatically sent to the Rhenus Group in encrypted form (SSL encryption). The latest technology is always used to keep your data secure.

What exactly does it mean, if your documents are added to our applicant pool?
Adding your name to the Rhenus Group’s applicant pool is voluntary and a separate invitation will be sent to you asking you if you wish to be added to the pool. If you decide to join our applicant pool, then your personal data can be accessed by the decision-makers within the Rhenus Group for the purpose of filling a possible vacancy. Your data is never passed on to third parties outside the Rhenus Group.

How long is your data stored in our system?
Your documents are archived for 90 days following the conclusion of the application process. All data is automatically deleted from our systems after this period. An email is sent to you to confirm this. To begin with, your documents are stored in our applicant pool for 180 days. After this, you will receive an email from us giving you the option to extend this period. Your data will be deleted from our systems, if you do not confirm in writing that you wish your name to remain in the pool within 14 days of receiving this email. Please send a short mail to recruiting@de.rhenus.com, if you wish your documents to be deleted prior to this.

What happens if you are applying for two or more jobs within the Rhenus Group at the same time?
If you have applied for several positions within the Rhenus Group, then the departments looking to fill the vacancies you have applied for will be informed of this. The same applies, if you are turned down for a job and then apply for another position within the Rhenus Group during the standard 90-day period we retain your documents.

Your rights as an applicant

Right of access
You have the right to obtain confirmation from the controller as to whether or not personal data concerning your person is being processed by us. 

Right to rectification
You have the right to ask the controller to rectify and/or complete your personal data if your personal data is being processed and it is inaccurate or incomplete. 

Right to erasure
You have the right to ask the controller to erase your personal data without undue delay. 

Right to restriction of processing
You have the right to have the processing of your personal data restricted (blocked). 

Right to object
You have the right to object to your personal data being processed, unless the processing is necessary for the performance of a task carried out for reasons of public interest. 

Right to data portability
You have the right to data portability, i.e. the right to receive your personal data in a machine-readable format. 

Right to lodge a complaint with a supervisory authority

Withdrawal of consent 
If you have given your consent to your personal data being stored or used and would like to withdraw your consent, then you can do this by sending us an email or a letter and withdrawing your consent for all future processing. 

Provision of data
The data that we store is needed to be able to carry out the application process. If you do not provide us with the information, then we are not able to carry out the application process. 

Updating our Privacy Policy
We reserve the right to UP-DATE or change this Privacy Policy at any time and without prior notice. The existing standard of data protection shall, of course, be maintained. An email will be sent to you immediately informing you of any changes made to this Privacy Policy.
